The role is based in our Head office in dartford, Monday to Friday,
9am-5pm. You will also be part of the on-call rota which involves
taking the on-call phone home on some evenings and weekends. Being a
driver is essential for the role.

As the administrator you are the face and voice of the company. The
first impression when they walk in and the first voice they hear when
they phone us. Duties of the care coordinator – administrator include,
but are not limited to:
- Answering incoming calls in a positive, happy, professional,
unrushed, and pleasant manner making the caller feel important and
special. Never make the company sound rushed, under stress,
disorganised or manic.
- Answering any phone enquiries, you can and directly those that
need to be passed on to the correct person
- Greet any visitors that walk in pleasantly. Be pleased to see
them, be warm and friendly. Make them feel welcome and ensure that
you offer a drink to all.
- Monitor the Careplanner alerts that come in throughout the day in
real time and do not leave the office for the day with any alerts outstanding.
- Follow up and action any issues that arise on the Careplanner and
importantly feedback to the HCAs, clients, families etc. so that
they know it hasn’t been ignore
- Create new client office files within 7 days of starting the service.
- Ensure all post is franked and posted at the end of each working
day and any stationary is well stocked and ordered if required
- Birthday cards sent to clients and staff
- Liaise with Client Coordinators for the Client anniversary gifts
- Restocking paperwork in reception for the HCAs and ensure
brochures, personal client files are available for the Client Coordinators.
- Ensuring the PPE cupboard is well stocked for the HCAs
- Present HCA expense forms to Finance Coordinator on last day of
the month ready for invoicing
- Ensure that all the necessary procedure is completed at the end of
our service to a client (end of client’s service email, followed by
journal collected, file retired etc.)
- Complete end of staff procedure is completed when staff terminate
their employment (end of staff email, remove from apps etc.)
- Build positive collaborative relationships with our partner
organisations such as OTs, DNs and GPs
- Ensure all our clients are happy and have a great experience of
their care
- Contribute to staff retention- complete any care calls that need covering
- Participate in a share of the on-call rota out of hours
- Promoting the good name of Westmorland Homecare in the community
- Any other activities that may be necessary to meet the needs of
the business
Skills and experience required for the role:
- You must have a passion to help others, care for people and do
something good for the community

You must have experience in the health or social care sector
for this position
- You must have an understanding of safeguarding procedures and
protecting clients from harm or abuse
- You must have a good understand of moving and handling procedures
and various types of equipment
- You must be comfortable delivering hands on care if required
- You must have a good level of computer / IT proficiency
- You must be a driver with access to a vehicle and a valid UK license
- An understanding of care plans and care planning is advantageous
- Being caring and kind with a strong ability to connect with people
and build relationships is important
